Project Scope

ICWA Road Safety Forum and Awards is a biennial event focusing on road safety issues and recognition of outstanding achievement within Western Australia. Impact Communications is delighted to be challenged with the task of bringing together around 250 delegates to engage in a one day forum and the spectacular Awards Dinner.

Our Action

A fully integrated project, Impact Communications is responsible for ensuring all aspects of the Forum and Awards event is managed to perfection, down to every last detail. The key responsibilities undertaken by Impact include:

• Full event management, consisting of venue and catering coordination, ‘conference secretariat’, delegate registrations and payment, preparing biographies and presentations. 
• Conference planning and execution, including designing an effective conference structure and collecting feedback from delegates.
• Project management of the design and implementation of a creative theme which is applied across all marketing collateral; including a functional forum website, also managed by Impact.
• The finishing touches; attention to detail to ensure seamless delivery of the event, including compiling delegate packs, sourcing speakers’ gifts and organising continuous refreshments for delegates throughout the day.
• Coordination of the Awards Dinner, including a meet and greet service, delivery of a three course meal, organisation of the presentations and awards ceremony and hand selecting entertainment. In 2010 Impact arranged:
  - a captivating illusionist stage act
  - an ambient string quartet and vocal performance providing the perfect back drop to dinner; and
  - an artistic VJ and audio visual performance

The Impact

The event’s conference structure promotes discussion; showcases innovation and facilitates collaboration among the key stakeholders involved in road safety. Post-conference research rated the most recent Forum and Awards Dinner very highly in all respects. The Awards Dinner successfully engaged guests with an ambient yet functional venue, exquisite food and captivating entertainment.
